Hiring Department : Disbursement and Travel Services

Vacancies being Filled : This posting is intended to fill two positions within Disbursement Services - Miner Mall and Non-PO

Reports To: (1) Associate Director of Disbursement Services and (1) Manager of Disbursement Services

Work Modality: Hybrid Work arrangement upon completion of a satisfactory probationary period; Candidates must reside within commuting distance of the UTEP campus

Job Location: On-Site, El Paso, Texas

Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm,

FLSA status: Exempt

Earliest Start Date: As soon as possible.

Salary : $35,568 annually

Position Summary

Under general supervision, applies University policies and procedures to ensure the accurate and compliant handling of financial transactions. Reviews, processes, and responds to Purchase Order (PO) and Non-PO payment requests and related inquiries, supporting effective and timely disbursement services across campus.

Statement of Duties and Responsibilities

Accountant I – Miner Mall

Reviews and approves PO related payment requests to ensure activity and documentation comply with University policy and procedures.

Serves as a primary point-of-contact for campus departments and outside vendors on PO related payment inquiries.

Reconciles vendor statements and research invoice status to ensure timely and accurate payments.

Reviews, investigates, and corrects errors and inconsistencies in payment transactions.

Helps evaluate current processes, identify areas of opportunities, and provide input on ways to improve the operation.

Monitors compliance with generally accepted accounting principles and University policy and procedures.

Assists with various special projects as needed.

Knowledge of all Microsoft Office software and able to learn and use institutional software systems.

Complies with all State and University policies.

Other duties may be assigned.

Supervisory Responsibilities: No supervisory responsibilities.

Accountant I – Non PO

Reviews non-PO payment requests to ensure activity and documentation comply with University policy and procedures.

Reviews, investigates, and corrects errors and inconsistencies in non-PO payment requests.

Research, reviews, and reconciles non-PO transactions, invoices, reports and vendor statements to help process timely and accurate vendor payments.

Reviews vendor profiles and voucher payments for proper 1099 reporting and assists with 1099 and other IRS tax-related processes.

Serves as a primary point-of-contact for campus departments on non-PO inquiries.

Investigates and corrects errors in payment transactions. Research returned/rejected ACH payments and processes for re-issue.

Helps evaluate current processes, identify areas of opportunities, and provide input on ways to improve the operation.

Determines proper handling of financial transactions.

Monitors compliance with generally accepted accounting principles and University policy and procedures.

Assists with various special projects as needed.

Knowledge of all Microsoft Office software and able to learn and use institutional software systems.

Complies with all State and University policies.

Other duties may be assigned.

Supervisory Responsibilities: No supervisory responsibilities.

Qualifications

Required Qualifications

Education: Bachelor’s degree in accounting, Finance, or Business Administration

and

Experience: No prior experience required

Preferred Qualifications

Accounts Payable processing experience.

Familiarity with using Microsoft Outlook and Teams for virtual meetings and collaboration.

Experience creating complex Excel formulas, pivot tables, and VLOOKUP

PeopleSoft and Jaggaer experience.
