Job Description

Job Title: Appointment Scheduler

Location: Tulsa, OK

Schedule: Full-Time | Monday–Friday

Compensation: $16-$17/hour

Overview:

A fast-paced and reputable orthopedic practice is seeking a detail-oriented and customer-focused Appointment Scheduler to join our administrative team. The ideal candidate will have excellent communication skills, strong organizational abilities, and the ability to multi-task in a high-volume medical setting. Prior experience in a medical office, especially in orthopedics, is highly preferred. Epic experience a plus. 

Key Responsibilities:

  • Answer incoming calls and schedule appointments for multiple orthopedic providers
  • Confirm, reschedule, and cancel appointments as needed
  • Verify and update patient demographic and insurance information in the EMR system
  • Coordinate referral information and ensure appropriate documentation is in place before appointments
  • Work closely with clinical staff to ensure appropriate time slots based on visit type, provider, and procedure
  • Handle a high volume of scheduling requests with professionalism and accuracy
  • Provide exceptional customer service while addressing patient questions or concerns
  • Maintain confidentiality of patient information in accordance with HIPAA regulations
  • Perform other front desk and clerical tasks as assigned

Qualifications:

  • High school diploma or equivalent required
  • 1–2 years of medical office experience preferred; orthopedic experience is a plus
  • Familiarity with EMR systems (e.g., Epic, Athena, Cerner)
  • Excellent communication and interpersonal skills
  • Strong attention to detail and ability to work under pressure
  • Proficient with computers, multi-line phone systems, and office equipment
  • Knowledge of medical terminology and scheduling practices

* Perform bookkeeping duties, such as credits or collections, preparing and sending financial statements or bills, and keeping financial records.
* Perform various clerical or administrative functions, such as ordering and maintaining an inventory of supplies.
* Transcribe recorded messages or practitioners' diagnoses or recommendations into patients' medical records.
* Compile and record medical charts, reports, or correspondence, using typewriter or personal computer.
* Schedule tests or procedures for patients, such as lab work or x-rays, based on physician orders.
* Arrange hospital admissions for patients.
* Prepare correspondence or assist physicians or medical scientists with preparation of reports, speeches, articles, or conference proceedings.
