Job Description

Executive Assistant

We are currently seeking candidates for an Executive Assistant opportunity with a global investment firm based in Boston, MA. The Executive Assistant will be responsible for proactive calendar management, coordinating domestic and international travel, preparing reports and presentations, and providing additional support as needed. The ideal candidate will have 2+ years of administrative experience, preferably in financial services.

This is an 8+ month contract opportunity, paying between $27-$33 / hour (depending on experience) This role supports a hybrid work model (4 days onsite, 1 day remote).

Responsibilities

• Manage complex and ever-changing calendars across multiple time zones, coordinating meetings and resolving scheduling conflicts proactively.

• Arrange and manage detailed domestic and international travel, including itineraries, accommodations, and expense reporting.

• Prepare meeting materials, client presentations, and daily team packets; collaborate with guest speakers and internal stakeholders.

• Oversee logistics for meetings and events, including room scheduling, catering, and technology setup.

• Partner with administrative peers and senior leadership to ensure seamless communication and workflow across departments.

• Provide additional support as needed.

Qualifications

• Bachelor’s degree required.

• 2+ years of administrative experience in a professional services environment; investment management or financial services experience preferred.

• Advanced proficiency in Microsoft Office Suite and comfort with learning new systems and tools.

• Strong attention to detail and organizational skills with the ability to manage competing priorities.

• Excellent communication, interpersonal, and problem-solving abilities.

• Professional presence, discretion, and a collaborative mindset.

• Flexible and adaptable with a positive, proactive attitude.
